Setting up the automation
Use Jira Automation to configure the right trigger for survey requests based on your use case or workflows.
Prerequisites
The issues are on the JSM cloud site. For more information, check this documentation: How to check your Jira cloud version.
The issues have a valid request type.
Go to Project Settings > Request Types to see all available request types for your project.
You must use a Jira issue key to validate the automation.
Getting the project's automation URL
Click on Project settings on the top right corner of the page. Next, at the left column, click HR Survey settings > Triggers tab.
You will see the webhooks for the onboarding and offboarding surveys. Copy the POST request in the page by clicking on the copy icon.
Jira Automation configuration steps
You can test the automation rule with a test issue. The deleted test issue won’t be included in the survey reports' calculation. For more information on creating a test issue, read this: Test an automation rule using the manual trigger.
In your project, select Project settings > Automation.
Select Create rule to start creating the automation rule.
In the Add a trigger section, select a suitable trigger for your workflow. For this example, we are using Issue transitioned, the "From Status" is blank while the "To Status" has the Done value. Click Next to continue.
In the Add a component section, select THEN: Add an action section.
Next, search for and select Send web request.
Paste the automation URL from the project's Triggers tab (refer to Getting the project's automation URL) into the Web request URL field.
In the HTTP method section, select the “POST” option.
In the Web request body section, choose Issue data (Automation format) from the dropdown.
The next step is optional: Click Validate your web request configuration to expand that section and in the expanded "Validate" section, enter a Jira issue key and click Validate. Then, click Save to continue.
If successful, a confirmation message with "Response 200 OK" will appear. You should also refresh the Jira issue and check for a new comment with a survey link.
Name the automation rule and then click Turn on rule.
If you add the automation correctly, when triggered, it will add a public comment with the link to the survey in the corresponding ticket.
